Privacy Notice.

How we collect, use, share and protect personal data when running the Jics fleet logistics platform.

1. Scope of this notice

This notice describes how Plaman Engineering Limited ("Jics", "we") handles personal data when running the Jics fleet logistics platform. It applies to:

  • visitors to jicsmotion.com,
  • operators (admins, fleet managers, security managers) who sign in to the dashboard,
  • operators who sign in to the mobile application,
  • customers who receive tracking links and confirm delivery via QR code, and
  • anyone who contacts us by email or other channel.

2. Who we are

For visitor and prospect data, Plaman Engineering Limited is the data controller. For data processed inside a customer's tenant — user records, vehicle telemetry, trip data, customer delivery confirmations — the customer is the controller and we act as processor under the Data Processing Addendum.

3. What we collect

3.1 Account data

Names, work email addresses, phone numbers, role, tenant assignment, sign-in timestamps and authentication metadata.

3.2 Vehicle and trip data

Vehicle registration, depot, position pings, speed, ignition state, route, stops, and event timestamps, captured during normal operation of the fleet.

3.3 Delivery data

Recipient name and contact details where supplied by the customer, the one-time QR code presented at the door, and the timestamp and location of the scan that confirms the handover.

3.4 Usage data

Pages viewed, actions taken, device and browser information, and aggregate performance telemetry used to operate and improve the platform.

3.5 Marketing data

Information you provide when requesting a demo, signing up for updates, or contacting sales.

4. How we use it

We use personal data to:

  • provide and operate the Jics platform on behalf of customers,
  • authenticate users and maintain tenant isolation,
  • raise live alerts to the role that needs to know,
  • record delivery confirmations against the trip,
  • diagnose and fix issues, and to investigate suspected abuse or fraud,
  • communicate with operators and prospects about the service, and
  • meet legal and contractual obligations.

5. Lawful basis

Where applicable data protection law requires a lawful basis, we rely on: performance of a contract (operating the service for our customers); legitimate interests (operating, securing and improving the platform, where these do not override the rights of the individual); consent (for optional marketing communications, where required); and legal obligation (responding to lawful requests).

6. Sharing with third parties

We share personal data with carefully selected subprocessors who provide infrastructure, mapping, communications, analytics and support tooling. A current list of subprocessors is available on request and notice will be given of material changes. We do not sell personal data.

We may also share data when legally required, in connection with a corporate transaction (with continued confidentiality), or with a customer's service provider where they are responsible for that customer's account.

7. International transfers

The platform is operated from infrastructure that may be located outside your region. Where data is transferred internationally, we put in place appropriate safeguards — including standard contractual clauses where required — to protect personal data.

8. How long we keep it

We keep personal data for as long as it is needed for the purposes set out above. Customer data inside a tenant is retained for the term of the customer's agreement and a defined post-termination window, then deleted or returned in line with the Data Processing Addendum. Marketing data is kept until consent is withdrawn or for the period required by law.

9. Your rights

Subject to applicable law, you may have the right to access, correct, delete, restrict or object to the processing of your personal data, to receive a copy of it, and to withdraw consent where processing relies on consent. Where the data sits inside a customer tenant, please direct the request to the customer first; we will support them in fulfilling it.

10. Security

We use technical and organisational measures appropriate to the risk — including encryption in transit, role-based access controls, tenant isolation, audit logging and regular security reviews. No system is perfectly secure; we will notify affected customers without undue delay where a breach affects their data.

11. Children

The platform is not intended for children. We do not knowingly collect personal data from anyone under 16. If you believe we have, please contact us and we will delete it.

12. Changes to this notice

We may update this notice from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated through the platform or by email.
